Administrative Coordinator (1)Functional OverviewFunctional OverviewThe Administrative Coordinator provides essential administrative and operational support to the assigned unit or directorate, contributing to the smooth implementation of activities and compliance with ICMPD policies and procedures. Working under the direct supervision of the Sr/Executive Officer, they assist in coordinating work plans, supporting office management, and facilitating communication across teams. By managing documentation, coordinating logistics, and maintaining accurate records, they ensure efficient daily operations and contribute to the achievement of organisational goals. This role offers an excellent opportunity for professional development within a dynamic and multicultural environment.Key ResultsAdministrative and Operational Support: Administrative tasks and daily office operations are effectively supported, ensuring seamless workflows within the unit or directorate. Reports, correspondence, and internal documents are prepared and processed in a timely and accurate manner. Filing systems and databases are consistently maintained to ensure organised and accessible documentation in line with ICMPD standards.Coordination of Work Planning and Monitoring: Support is provided in gathering inputs for annual work plans, progress reports, and related documentation. Deadlines, tasks, and deliverables are accurately tracked and monitored, contributing to timely execution and alignment with organisational objectives. Updates on progress are effectively communicated to supervisors and relevant stakeholders.Communication and Stakeholder Engagement: Internal communication within the unit and across departments is supported through the timely sharing of relevant updates and information. Logistical and administrative support is provided for organising meetings, workshops, and events, ensuring effective stakeholder engagement and coordination.Resource and Financial Administration Support: Basic financial and procurement procedures are supported in accordance with ICMPD financial guidelines. Petty cash handling and procurement-related documentation are managed accurately. Contributions are made to the preparation and organisation of financial reports and supporting documentation.Required Expertise
  • Ability to provide timely and accurate administrative and operational support in compliance with organisational procedures.
  • Basic understanding of office management practices and administrative processes.
  • Capability to maintain organised and accurate records and documentation.
  • Strong interpersonal skills and the ability to work collaboratively within a team.
  • Good organisational skills with attention to detail and the ability to prioritise tasks.
  • Familiarity with standard IT tools and systems, including Microsoft Office applications.
  • Willingness to learn and adapt to new processes and procedures.
Qualifications, Experience and Language Skills
  • Master's Degree related to the area of work.
  • Minimum of 1 year of relevant administrative or operational experience, preferably in an international or multicultural environment.
  • Experience supporting planning, reporting, and office coordination activities is an asset.
  • Experience working with financial and procurement procedures is an asset.
  • Proficiency in (verbal/written) English; proficiency in a major EU language is an asset.
  • Proficiency in the use of standard IT tools (e.g., Microsoft Office).
