Our programs are backed by thorough research to ensure their quality and integrity. Our participants represent a spectrum of learners, from high school through the postdoctoral and professional level.The American Councils's Slovak office opened in the fall of 2018, at a time when Slovakia and United States held centennial celebrations of their diplomatic relations. Our first major project is Future Leaders Exchange (FLEX). FLEX is a scholarship program fully funded by the U.S. Department of State which enables high-school students to spend an academic year in the United States.In 2020, we also launched Camp Courage – a 6 day camp for high school students with a goal to engage them in active learning about the critically important role that civically engaged youth play in society.About the positionThe Program and Administrative Assistant is responsible for functions related to implementation of American Councils programs in the Czech Republic, Hungary, and Slovakia. In addition, the Assistant provides administrative and finance support for programs and operations in these three Central European countries.This is a position shared among American Councils field offices in the three above-listed countries. The workload distribution is to be based on preset calendar for recurring tasks and weekly virtual meetings with all three field office Country Representatives. The position reports to the American Councils Country Representative in the country of hiring and works in conjunction with Washington-based program managers and colleagues in Central and Southeast Europe.The Program and Administrative Assistant will work from the American Councils office in Bratislava. A combination of office and remote work is possible. A fully remote position will be considered for the right candidate. This is a 6-month full-time position with the possibility of an extension.POSITION RESPONSIBILITIES
  • Maintain and manage all records and documents related to the operations of the American Councils offices in Bratislava, Budapest, and Prague under the supervision of those field offices' Country Representatives;
  • Prepare and maintain human resources records and documents under Country Representatives' supervision and in compliance with local labor codes;
  • Create and submit budget requests and electronic expense reports to Washington, DC's financial department on a monthly and annual basis;
  • Coordinate contracts for short-term and temporary staff;
  • Process and track operational and programmatic transactions, maintain communication with regional offices' banks and external accountants;
  • Provide administrative and logistical support to all programs, assisting office staff in everyday routine work as well as the organization of special events such as workshops, trainings, seminars, etc.
  • Organize and supervise office maintenance and repair work,
  • Support Country Representative in promoting American Councils programs by developing advertising campaign, mass mailings etc.;
  • Collect and track data, forms and files;
  • Organize and facilitate American Councils staff visits to relevant field offices if needed;
  • Other administrative and program related duties as assigned.
Koho hľadámeOur ideal candidate should meet the following requirements:
  • Secondary School education in relevant field, or Bachelor's degree, or equivalent, in a relevant field of study
  • One to three years of relevant office work experience
  • Outstanding time management, organization and planning skills
  • Demonstrated excellence in communication and multicultural interpersonal skills
  • Fluent in English and Slovak; knowledge of Czech and Hungarian is a key asset
  • Familiarity with the education system in Central Europe
  • Flexibility to occasional work on weekends and evenings
  • Experience in budget management
  • Familiarity with Microsoft Office software suite and common social media platforms
