Job description, responsibilities and duties
The European Alliance for Innovation (EAI), the largest European professional society in Information sciences and engineering, is searching for a Jr Conference Manager to participate in the organization and execution of conferences.The job offers international experience in over a hundred countries.
Work is in English and may include international travel.
Experience in scientific or academic based conferences as organizer or participant is a plus.Specific Job responsibilities include:
- Coordinates and follows the conference organization process with research and academic communities
- Coordinates registration and accommodation booking and on-site materials
- Coordinates conference promotional activities
- Participates in planning conference timelines, budget and venue
- Assists with content and audio-visual preparation
- Follows up with conference communities in developing new conferences in evolving research areas and countries around the world.

The European Alliance for Innovation (EAI), the largest European professional society in Information sciences and engineering, is searching for a Conference Administration Associate to participate in international marketing activities. EAI organizes scientific events and publishes books, proceedings and journals in cooperation with a worldwide community of members.Specific Job responsibilities include:Assisting in the entire preparation of the conference processes and specifically:
- Receiving, checking, and categorizing presentation videos
- Editing and uploading content for EAI websites (includes proofreading, fact-checking, and layout/formatting maintenance using WordPress).
- Upkeeping of databases and lists
- Communicating with international authors
- Creating conference programs
- Scheduling reminders, following up on deadlines, and screening responses of conference authors
- Preparing promotional and conference materials (Publisher, Canva/Photoshop/…)
- Managing email marketing campaigns (i.e., scheduling, targeting, creating, and editing the written content, formatting, and visual layout)

The European Alliance for Innovation organizes over a hundred events around the world. The Events Venue Manager deals with conference budgets and registrations, venue provisioning and social programs of the events.Specific Job responsibilities include:
- In coordination with the event manager select venue locations based on analyzing costs and benefits from operational and attractiveness perspectives;
- Propose and organize on-site activities to augment event participants experience;
- Negotiate venues and follow event venue contract execution;
- Prepare and update the event's budget;
- Monitor venue deadlines avoiding cancellation or changes penalties;
- Collaborate with Finance department for timely invoices and payments;
- Support accommodation arrangements for keynote speakers, organizing committee and EAI staff;
- Serve as main point of contact for venue related volunteer committee members
