Job description, responsibilities and duties
Habitat for Humanity Area Office for Europe and Middle East (HFHI EME) is seeking a dedicated team member to join its Program department focusing on Central and Eastern European region. The Project Assistant will play a crucial role in the administration and support for the project management of the multi-year Empty Spaces to Homes project which belongs to a flagship program of the Affordable Housing regional priority. The Project Assistant will also support the administration and management of other projects from an assigned portfolio. The Project Assistant will work closely with the Project Manager of the Empty Spaces to Homes project.This position will be based in Bratislava, Slovakia and the employment is anticipated for a fixed period of 3 years with a possibility of prolongation upon available funding and satisfactory performance.WHAT WOULD BE YOUR RESPONSIBILITIES?The Project Assistant will support day-to-day administrative tasks and project management of Empty Spaces to Homes project and additional projects on demand. This includes mainly, but is not limited to:
  • Provide day-to-day administrative assistance to ensure smooth project operations
  • Managing project-related “paperwork” including contracts, agreements, and payments of project-related expenses
  • The preparation of supporting project documents
  • Organizing, scheduling and facilitating regular project and other team meetings, taking notes and communicating the next steps with project partners or team members
  • Organize travel arrangements for team members
  • Facilitate effective communication and coordination among project team members, partners and other stakeholders
  • Support in coordinating with external partners, technical experts, and stakeholders
  • Participate in the development of project proposals and plans, support in creation of respective project deliverables
  • Support of project reporting and coordination tasks
  • Set up of online channels for project documentation, coordinate access of project team members and other required throughout the process, maintain organized project files and documentation
  • Cooperate with internal departments to ensure effective project implementation
  • Plan and organize in-person project meetings and other projects-related events
  • Coordinate the projects communication activities with HFHI Comms team
