Specific responsibilities include: * Office management - update and maintain the company CRM system and databases, communicate with external advisors and suppliers including specifically bookkeepers etc., control petty cash, monitor stationery stock levels, distribute post, take notes at weekly meetings, arrange transport for clients, etc.
- Member administration - maintain overview of all members at all times, in terms of membership fees, credit control, initiating invoicing procedures, contracts with members, flagging potential leavers, utilizing Chamber CRM systems, monitoring churn/growth rates for the ED and Board.
- Member marketing - take the lead on marketing to members both through traditional means (newsletters, mail) as well as website updates and social media (using the existing social media and marketing tools of the Chamber and with the support of other office staff).
- Member events - support the Executive Director and Chamber team in identifying, developing and managing events for members including sponsorship, themes and events plans and budgets. In collaboration with the ED, write, design and edit Chamber material (newsletters, invitations, agendas, mailings, etc.). Survey and record suggestions from membership to ensure that events are meeting their needs. Actual implementation of events may utilize other members of the Chamber team as well as possible outsourcing within budgetary restraints.
- Assistance to the ED - support the Executive Director and Chamber team in the retention of members as well as meeting with members, identifying their needs, managing member communications, bringing to them ideas and suggestions that may assist the members' objectives within the framework of the overall service proposition of the Chamber. produce reports, provide adhoc administration and general duties
The Chamber Coordinator will be required to liaise closely with the ED on a regular daily basis in line with the responsibilities above as well as formal reporting on a monthly basis as regards member status, issues, targets versus actual, flagging potential leavers as well as potential opportunities to the Chamber Board.Summary of qualities required (and preferred):The selected candidate will need to have the following qualities:
- To have experience of dealing with multiple customers (or members) in a professional business context;
- To have strong communications skills;
- To have strong organizational and interpersonal skills;
- To have experience with marketing, PR and social media;
- To have professional fluency in English and Slovak;
- To have the enthusiasm and drive to take on new challenges and innovate where necessary;
- Handle a myriad of details, follow up items and changing situations;
- Present a friendly, welcoming, can-do attitude in interactions with members, co-workers and visitors;
- A very high level of etiquette and customer service;
- Min. 2 years experience working full time is required.
- University degree and/or professional business qualifications;
- Experience of event management;
- Experience of using graphics editors (Adobe Photoshop/InDesign);
- Previous experience of working in a Chamber of Commerce and/or other professional business associations or international organization.
