SALARY: 1200 EUR brutto/month (based on candidate's experience) + attractive benefits package
JOB LOCATION: In-Office based in Bratislava, SlovakiaHabitat for Humanity International (HFHI) is currently seeking to recruit an ambitious Program Assistant to provide support to the Program Team by managing daily logistics planning tasks and assist in providing admin support and documentation oversight. You will be part of a team of professionals working to maintain order and transparency for the organization's Program team.The ideal candidate will be well-versed in communication and cross-cultural sensitivity and will be able to assertively tackle issues and handle them from start to finish.WHAT WOULD BE YOUR RESPONSIBILITIES?Admin support to Program Team:– Ensure that Program receives adequate administrative support such as process incoming and outgoing correspondence, drafting and typing letters, make copies, prints and scans.Communication within Program Team:– Act as a point person for all program department issues and handles interdepartmental communication on behalf of Directors of the program department.Logistics Planning and Support:– Plan for, obtain and manage venues, finalize menus and transport arrangements and entertainment for conferences organized by the EME Program department.– Make travel arrangements and bookings, research and obtain visas; produce detailed individual itineraries for participants and program staff at management level, purchase of tickets when necessary.– Manage the records for travel, passports, permits, pictures, travel preferences and more.– Purchase requested material and ensure that all purchases related to program activities and specific events are done according to HFHI's policy.Documentation, archiving and filing:– Plan, develop and sets-up Program document and filing systems: filing of documents, records management, communications (telephone, correspondence), supplies and Program library managementReporting:– Prepare reports for programs well as collects and archive respective Program reports, arrangements and bookings.– Handle the PD’s files ensuring confidentiality of the documents.– Take and distribute minutes, agendas during Program meetings to the relevant target groupOther duties:– Provide assistance to the program's regional assignees, should they encounter issues due to the Slovak language or administration.– Ensure IT support during calls, connectivity of visitors.– Coordinate the Directors' agenda, schedule meetings and other business-related activities as well as makes travel.– Manage the frequent updating of contacts, mailing groups and such.– Other related duties as assigned by supervisor.WHAT DO WE REQUIRE?To thrive as a Program Assistant at Habitat for Humanity EME, these are the key requirements:· Education: High School Diploma· Years of Related Experience: 3-5· Strong service orientation.· Fluency in English and Slovak.· Excellent computer skills (MS Office), internet search.· Good interpersonal, communication and writing skills.· Must be able to multi-task and prioritize tasks.· Cross-cultural sensitivity and ability to communicate effectively with people from different walks of life.· Strong organizational skills.· Ability to assertively tackle issues and handle these from start to finish.· Active support of HFHI Values & Commitments:– Humility - We are part of something bigger than ourselves– Courage - We do what's right, even when it is difficult or unpopular– Accountability - We take personal responsibility for Habitat's mission– Safeguarding - HFHI requires that all employees take seriously their ethical responsibilities to safeguarding our intended beneficiaries, their communities, and all those whom we work with.INFORMATION ABOUT THE SELECTION PROCESS:If you’d like to join our global team in Bratislava and you think you qualify within the specified job requirements, submit your motivation letter and CV (as ONE DOCUMENT) in English to Human Resources at .DEADLINE: Closing date for applications is March 25th, 2022.
